FreshBooks business users sign in through the web portal or mobile app, but automatic mileage tracking is managed mainly from the iOS or Android application. The feature records detected trips for later classification; it does not decide whether a trip qualifies for a tax deduction.

Mileage Tracking uses the phone’s location services to detect vehicle trips. The user later classifies each trip as business or personal, reviews its distance, and can add information such as the trip’s purpose.

FreshBooks may display a potential deduction based on the configured mileage rate, but that estimate does not determine whether the trip is deductible under federal, state, or local rules. FreshBooks provides separate mileage instructions for iOS and Android. Both platforms require location access, but their operating-system permission labels and background restrictions differ.

Do this first: open the correct business. Skip turning on tracking until the active FreshBooks company has been confirmed.

Log In to the Existing FreshBooks Account

FreshBooks supports direct email-and-password access along with Google and Apple sign-in. Direct login can also require two-factor authentication.

Someone who manages several FreshBooks businesses should check the active company immediately after signing in. Otherwise, trips may be reviewed while the user is looking at another business’s records.

A mobile login problem should not lead to a replacement account. A new profile will not automatically contain the original invoices, mileage records, expenses, reports, or clients.

FreshBooks advises users to wait about 15 minutes for a password-reset message and check filtered mail when it does not arrive. Google or Apple passwords must be reset through the relevant provider.

Priority one is account recovery. Skip creating duplicate records until the original profile opens normally.

Enable Mileage Tracking on iPhone

FreshBooks’ iOS mileage documentation directs users to open Mileage Tracking and enable the feature. The application needs location access set to Always or While In Use, depending on the app state and the options presented by iOS.

Automatic tracking depends on more than one switch. Review:

  • Mileage Tracking is enabled in FreshBooks.
  • Location Services are enabled for the device.
  • FreshBooks has the requested location permission.
  • Precise Location is available where required.
  • The application is permitted to operate in the background.
  • Low Power Mode is not interfering with background activity.

The exact iOS wording can change with operating-system releases.

Do not assume that granting location permission once settles the issue permanently. An iOS update, app reinstall, privacy review, or device migration can change the permission state.

Enable Mileage Tracking on Android

On Android, Mileage Tracking can be managed through the application’s mileage settings. FreshBooks says users should allow background location access and select Always Allow when Android periodically asks whether the app may continue using location in the background.

Android manufacturers also add their own power-management controls. Battery optimization may restrict background activity even when the FreshBooks permission appears correct.

Classify Business and Personal Trips

Detected trips remain records that need review. The user decides whether each drive was business-related or personal.

A useful business trip record should include:

  • date;
  • start and destination information;
  • distance;
  • business purpose;
  • client or project context where relevant;
  • classification as business or personal.

The IRS requires adequate records or sufficient evidence to substantiate vehicle expenses. Its guidance points taxpayers to Publication 463 for the applicable recordkeeping rules.

“Business trip” is too vague.

A note such as “travel to client office for equipment installation” is more useful than “meeting.” The description should identify why the drive related to the trade or business.

Commuting and business transportation are not automatically treated the same for tax purposes. The distinction depends on facts such as the regular workplace, temporary work locations, and principal place of business.

When uncertain, preserve the trip and ask a tax professional. Do not classify every weekday drive as business merely because work happened afterward.

Why FreshBooks Misses a Trip

A missing trip does not always mean the account failed.

Common technical causes include:

Location access changed: The operating system may have reduced FreshBooks from background access to limited access.

Battery saving restricted the app: Power-management controls can prevent continuous background detection.

Tracking was disabled: The setting may have been turned off during a privacy or battery review.

The application was force-closed: Some devices restrict background operation after a manual force stop.

The active business was different: The user may be reviewing another company in FreshBooks.

The drive was too short or had a weak location signal: Automatic systems may not capture every movement consistently.

Check the permission state first. Skip estimating the distance from memory when another reliable record exists, such as a contemporaneous calendar, work order, route history, or odometer log.

FreshBooks should support the record, not replace judgment.

Why a Trip Looks Too Long or Too Short

Location tracking can be affected by signal loss, underground parking, tall buildings, device power settings, and delayed GPS updates.

Review the displayed origin, destination, route, and distance. If the trip record is clearly inaccurate, correct it using the editing controls currently available in the application or preserve a separate substantiation record.

Do not accept an obviously incorrect number simply because it was generated automatically.

A route can also include personal stops during an otherwise business-related drive. Whether and how the mileage should be divided depends on the facts. Keep enough detail to explain the classification later.

Priority two is accuracy. Skip multiplying the annual total by a mileage rate until questionable trips have been reviewed.

Mileage Rates and Potential Deductions

FreshBooks allows users to manage mileage rates and distance units in the mobile Mileage Tracking settings.

The rate displayed in an app may be a default, a user-entered reimbursement rate, or a tax-related estimate. It should be checked against the correct year and jurisdiction.

Do not hard-code last year’s U.S. federal mileage rate into a 2026 report without checking current IRS guidance. Standard rates change, and some businesses use actual vehicle expenses or employer reimbursement rules instead.

IRS Publication 463 explains the standard-mileage and actual-expense approaches, along with restrictions and recordkeeping requirements.

FreshBooks records the distance. The taxpayer and adviser determine the permitted treatment.

Export the Mileage Tracking Report

FreshBooks says users can open a web browser, go to Reports, and download the Mileage Tracking Report under Accounting Reports.

The report can be reviewed in spreadsheet software. FreshBooks notes that timestamps in the exported mileage report use Coordinated Universal Time (UTC), so users may need to convert them to the desired local time zone.

That detail is easy to miss.

A late-evening trip can appear under a different calendar date after a UTC conversion, especially for users several hours behind UTC. Review the timestamp and time zone before treating it as a duplicate or missing drive.

Export the report after all trips for the period have been classified. Skip relying only on the potential-deduction total shown in the app.

A useful year-end package may include the mileage report, business-purpose notes, vehicle information, and supporting calendar or work records.

Mobile Sync and Account Problems

FreshBooks describes its mobile and desktop products as synchronized across devices.

When a trip appears on the phone but not in a web report:

  1. Confirm the same FreshBooks business is open.
  2. Check the phone’s internet connection.
  3. Leave the app open long enough to sync.
  4. Refresh the browser session.
  5. Confirm the report date range.
  6. Verify that the trip was classified rather than left pending.

Do not recreate the same trip on multiple devices before sync has been checked. A delayed upload can later produce duplicate-looking records.
