FreshBooks business users sign in to connect bank and credit-card accounts, import transaction activity, categorize expenses, and reconcile FreshBooks records against actual bank activity. A newly connected account can take up to 30 minutes to complete its initial import, while later refreshes may occur every 4 to 12 hours depending on the financial institution.

Check the connection status before entering missing transactions manually. A delayed feed, expired bank authorization, incorrect import range, and genuinely absent transaction require different fixes.
What a FreshBooks Bank Connection Does
FreshBooks uses supported bank-data providers to bring transaction activity from a financial institution into the accounting account. Current FreshBooks documentation identifies Plaid, Salt Edge, and Yodlee among the providers used for bank connections.
A bank connection can support two related workflows:
- importing eligible money-out activity into Expenses;
- supplying bank transactions for Bank Reconciliation.
These workflows are connected, but they are not identical.
The Expenses area contains FreshBooks expense records used in reports. Bank Reconciliation compares actual bank transactions with FreshBooks entries, then lets the user match or classify each item.
This distinction explains why one transaction can appear on the bank side without yet being categorized as an expense, or appear as an imported expense that still needs to be matched in reconciliation.
Do not create a second expense merely because the bank transaction remains unreconciled.

The current FreshBooks login page provides email-and-password entry, Google and Apple sign-in, password recovery, and a separate login-help option.
Do this first: confirm the active FreshBooks business. Skip connecting a bank while another company is open.
Log In to the Correct Business
Use the sign-in method already associated with the established FreshBooks account. A user who manages several businesses should confirm the active company before adding a bank, credit card, or imported transaction file.
Check:
- company name;
- account owner;
- bank name;
- last four digits of the account;
- account type;
- currency;
- existing connections;
- current reconciliation balance.
A successful login can still lead to the wrong books.
Connecting a personal checking account to a business profile, or connecting the correct account under the wrong company, can fill the Expenses area with valid transactions that do not belong there.
Priority one is the destination business. Skip the authorization screen until the company name and bank account are confirmed.
Do not give a bookkeeper or employee the owner’s banking credentials merely to establish the connection. The financial institution may require the account owner to complete authentication or security verification directly.
Connect a Bank Through Plaid
For a Plaid-supported connection, FreshBooks directs the user to the Bank Connections area, where the bank can be searched and selected. The result should match the website normally used to access that institution online. The user then completes the bank’s login and identity-verification process before choosing which accounts to import.
Select only the accounts needed for the FreshBooks business.
A bank login may expose:
- business checking;
- savings;
- credit cards;
- personal accounts;
- closed accounts;
- several accounts with similar names.
Do not select every available account by default.
FreshBooks says the initial connection can take up to 30 minutes to import activity. Depending on the bank and connection, the available historical range may cover months or considerably more past activity.
Review the requested import period carefully. A wide range can bring in transactions already entered manually or imported through a previous connection.
Why New Transactions Are Missing
A connected account does not necessarily update instantly.
FreshBooks states that Plaid connections may refresh every 4 to 12 hours, depending on the bank. Some institutions require a manual refresh rather than continuous automatic updating. Others require repeated security verification before new transactions can be imported.
Check these possibilities:
The transaction is too new: The bank may still show it as pending.
The feed has not refreshed: Wait for the normal update or use the available refresh control.
Authorization expired: The bank may require renewed consent or multifactor verification.
The wrong account was selected: The user connected a different checking or card account.
The import range excluded it: Historical activity may begin after the missing transaction date.
The transaction is present but uncategorized: It may be hidden among Uncategorized Expenses.
A provider or bank issue exists: FreshBooks may display View issue beside the connection.
FreshBooks recommends checking bank connections regularly so errors and required actions do not interrupt imports for long periods.
Do not reconnect immediately after noticing one same-day transaction missing. A second connection can produce overlapping records once both feeds complete.
Use “View Issue,” Refresh, and Verify Login Info
FreshBooks’ Yodlee troubleshooting workflow begins in Bank Connections. When a feed stops importing, the user can select View issue to see the problem and the recommended correction.
Two common actions are documented:
Refresh: Select the refresh control beside the affected bank and complete any security questions.
Verify login info: Re-enter or update the financial-institution credentials and complete Open Banking authorization where required.
Read the displayed error before choosing.
A normal refresh will not correct a changed online-banking password. Re-entering credentials may not help if the institution is temporarily unavailable through the connection provider.
When the bank itself recently changed its login page, account identifiers, authentication method, or authorization rules, the connection may need time or a full reconnection.
Priority two is the displayed issue. Skip deleting imported expenses while the feed is being repaired.
Reconnect Without Creating Overlap
FreshBooks may display a banner inviting users to reconnect a previous Salt Edge connection through Plaid. Its documented workflow asks the user to reconnect, authenticate with the institution, and select the accounts that should continue importing.
Before completing a provider change, note:
- date of the last successful import;
- accounts already connected;
- historical range selected;
- number of uncategorized expenses;
- current reconciliation status;
- whether a CSV import was used during the interruption.
This creates an overlap checkpoint.
Suppose the old connection imported through June 30, and a temporary CSV added July 1 through July 15. A new connection that imports 90 days of activity may bring those July records in again.
Do not assume FreshBooks will identify every overlap automatically. Its duplicate checker can flag expenses where the date, amount, and description match, but similar transactions are not always duplicates, and repeated transactions with slightly different descriptions may escape the rule.
Review the overlapping dates after reconnection.
Find Uncategorized Imported Expenses
FreshBooks says Plaid-imported expenses that have not been assigned a category can be located using Advanced Search and the Uncategorized Expenses category filter.
Uncategorized does not mean missing.
These transactions exist in FreshBooks but have not yet been assigned to the appropriate operating-expense category. They may be absent from the report section where the user expected to find them.
For each transaction, review:
- merchant;
- date;
- amount;
- currency;
- receipt;
- client or project;
- expense category;
- billable status;
- tax treatment.
Do not categorize solely from the merchant name. A payment to the same retailer could represent office supplies, project materials, equipment, or a personal transaction requiring exclusion.
A bookkeeper or accountant should determine the appropriate category where the business purpose is unclear.
Duplicate Expenses After Reconnection
FreshBooks identifies potential duplicate expenses when two or more entries share the same date, amount, and description. A duplicate banner can appear above the expense list, and affected records can display a potential-duplicate link.
This often happens when:
- a bank is connected twice;
- CSV expenses overlap with bank-feed activity;
- an employee entered an expense manually before the import arrived;
- a receipt scan created a record already imported by the bank;
- a payroll or external integration posted the same cost;
- a disconnected feed later resumed and imported older activity.
A duplicate warning is a review prompt, not an instruction to delete both records.
Compare the source, date, amount, description, receipt, category, and reconciliation history. Keep the record that best preserves the real accounting workflow, then remove or exclude the repeated entry as appropriate.
Do not automatically delete the bank-imported copy when it is needed for Bank Reconciliation. The proper solution may be matching it to an existing FreshBooks entry rather than treating it as a separate expense.
Bank Reconciliation Is Not Expense Categorization
FreshBooks Bank Reconciliation can be set up through a direct bank connection or by creating a bank account and uploading transaction CSV files. The workflow compares bank transactions with FreshBooks entries, then allows matching or classification of unmatched activity.
A transaction can be handled in several ways:
- match it to one FreshBooks entry;
- match it to several FreshBooks entries;
- mark it as a transfer;
- mark it as owner’s equity;
- mark it as an expense refund;
- add or import a missing bank transaction;
- investigate an unmatched item.
FreshBooks specifically warns that a transaction intended to match a FreshBooks entry should use the matching workflow rather than being marked as another transaction type.
For example, a credit-card payment from checking is generally a transfer between business accounts, not a second expense. Marking it as another expense could count the underlying card purchases and the later card payment as separate business costs.
Classify the economic event, not only the bank description.
Add a Genuinely Missing Bank Transaction
FreshBooks allows manual bank transactions and CSV transaction imports inside Bank Reconciliation. The user opens the relevant bank account, selects the available add or upload control, and then chooses manual entry or file import.
Use this only after confirming that the feed will not supply the missing record.
FreshBooks notes that transactions dated before the account’s Opening Balance Start Date may require adjusting that date before they become available for matching.
This explains another apparent absence.
The transaction can exist in the account but remain outside the active reconciliation range.
Before adding it manually, search by:
- exact date;
- amount;
- merchant or description;
- matched and unmatched status;
- bank account;
- opening-balance date.
Do not add a placeholder transaction simply to force the reconciliation difference to zero. The entry should represent an actual bank event supported by the statement.
Correct the Opening Balance
An incorrect opening balance can make every later reconciliation period appear wrong even when all imported transactions are present.
FreshBooks recommends confirming the opening balance when troubleshooting incomplete or mismatched reconciliation activity. It also advises comparing matched and unmatched bank transactions to locate missing or incorrect entries.
The opening balance should represent the bank account balance immediately before the first transaction included in FreshBooks reconciliation.
Check:
- opening-balance date;
- bank statement ending or beginning balance;
- first imported transaction;
- pending transactions;
- previously reconciled activity;
- deleted or manually added entries.
Do not change the opening balance every month to make the current difference disappear. That masks the original problem and can make prior periods unreliable.
Find the first date on which FreshBooks and the bank diverge.
Disconnecting a Bank Connection
Disconnecting stops future imports from that connection. FreshBooks specifically advises users canceling an account to disconnect active bank feeds so Plaid, Salt Edge, or Yodlee no longer imports transactions and expenses.
Before disconnecting for another reason, record:
- last successful import date;
- uncategorized expense count;
- unresolved connection errors;
- unmatched reconciliation transactions;
- account identifier;
- whether a replacement connection is planned.
Disconnecting should not be treated as a method for deleting historical accounting data. Existing imported expenses and reconciliation records may remain and require separate handling.
Do not repeatedly disconnect and reconnect as a general refresh technique. Each new authorization can expand the historical import range and create more cleanup work.
