FreshBooks business users sign in through the company’s account portal to create invoices, manage recurring billing, review client payments, and adjust reminders. Clients normally open the invoice link sent by the business and can pay an eligible invoice without creating a FreshBooks account.

Start by identifying the failed step. A rejected password, an invoice that was never generated, an expired client link, and an unpaid invoice require different actions.
What FreshBooks Is
FreshBooks is cloud accounting and invoicing software designed for small businesses and self-employed professionals. Its tools include invoices, expenses, time tracking, online payments, client records, reports, estimates, and recurring billing.
There are two main access paths.
The business signs in to manage its books. A client generally opens an invoice, estimate, or proposal through a link supplied by the business. Primary clients can optionally create a client account, but routine online invoice payment does not require one.
That difference matters.
An invoice recipient who reaches the main FreshBooks login may assume they need business credentials. A business owner who sees that a client cannot pay may reset the account password even though the real issue is the invoice’s payment configuration.

The official login page currently includes email and password fields, Google and Apple sign-in, Forgot Your Password?, Can’t Log In?, and Sign Up.
Do this first: verify whether you are the business user or invoice recipient. Skip account registration when the only task is paying an invoice.
How to Log In to FreshBooks
Open the FreshBooks login through the company website and enter the email associated with the intended account. Use the same sign-in method that was originally configured, whether that is FreshBooks credentials, Google, or Apple.
A common friction point is browser autofill. An older password or different business email can be entered automatically even when the screen appears correct. Type the address manually when the account unexpectedly rejects saved details.
Another issue appears when one person has access to several FreshBooks businesses. Signing in successfully does not prove that the correct business has been opened. Check the business name before editing invoices, client information, or recurring templates.
Priority one is the original account. Skip creating a replacement profile because a new account will not automatically contain the established invoices, clients, expenses, reports, or recurring billing rules.
Reset a Forgotten Password
Select Forgot Your Password? on the login page and enter the account email. FreshBooks states that reset instructions are sent after the email has been typed correctly.
Users who entered FreshBooks through Google or Apple should confirm which password is actually failing. The account profile supports connecting and disconnecting those sign-in methods, and someone who has never created a separate FreshBooks password must establish one before disconnecting the external provider.
Use the recovery route tied to the actual sign-in method. Skip repeated FreshBooks password resets when the rejected credential belongs to Google or Apple.
When several reset requests have been submitted, use the newest message. Check filtered mail and verify that the email belongs to the intended FreshBooks business.
Keep credentials private.
Do not send passwords, authentication codes, complete payment information, or confidential accounting records through an ordinary support message.
Creating a Recurring Invoice Template
FreshBooks calls its automated repeating invoice setup a Recurring Template. The template generates invoices according to the frequency selected by the business and is intended for subscriptions or ongoing work.
A recurring template is not an already paid invoice. It is the rule that creates future invoices.
Before activating one, check:
- the client;
- invoice items and rates;
- taxes;
- issue date;
- frequency;
- number of occurrences or ending condition;
- online payment options;
- whether AutoPay should be available.
A small error repeats.
For example, an incorrect service rate on a one-time invoice affects one document. The same error inside an active recurring template can appear on every invoice generated from it until the template is corrected.
Review the first generated invoice as soon as it appears. Skip assuming that a correct-looking template will always produce the intended client document.
What Happens if the Account Is Suspended or Canceled
FreshBooks states that recurring templates are automatically deactivated if the account becomes suspended or canceled.
This can explain why a client suddenly stops receiving regular invoices even though the template still exists in the business’s prior records.
Check the account state first. Do not recreate every recurring template until subscription or account access has been reviewed.
Once normal access has been restored, inspect whether each recurring template is active and confirm the next invoice-generation date. A reactivated business should not assume that missed invoices were created retroactively.
Clients should contact the business when an expected recurring invoice never arrives. They should not open a new FreshBooks business account or attempt to activate the sender’s template.
AutoPay and Recurring Payments
FreshBooks supports recurring payments, also called AutoPay, on recurring template invoices and retainers. Depending on the payment setup and region, the supported method may involve a credit card, ACH bank transfer, a Direct Debit Mandate, or PayPal.
AutoPay means the selected payment method can be charged automatically when the recurring invoice is generated under the configured arrangement.
This is different from sending the same client an invoice every month and waiting for manual payment.
Review the payment method and authorization status before relying on AutoPay. A recurring invoice can be generated successfully while automatic collection fails because the payment authorization is absent, expired, or no longer usable.
The available methods vary by region and payment provider.
Priority two is the generated invoice. Skip marking it paid manually until transaction records have been checked, since duplicate recording can make the account show more money received than actually collected.
Payment Reminders and Late Fees
FreshBooks allows businesses to add payment reminders and late fees to newly created invoices. These controls apply after an invoice passes its due date. A reminder sends an email, while a late fee can be configured as a percentage or flat amount.
The due date drives both features.
An invoice that appears overdue earlier than expected may have the wrong issue date, due date, or payment terms. Check those fields before changing reminder text or removing a fee.
A late fee is also different from a payment reminder:
- A reminder asks the client to pay.
- A late fee changes the amount owed.
Review the business agreement and applicable law before imposing a fee. FreshBooks provides the software control, but whether a particular late fee is permitted or enforceable can depend on the contract and jurisdiction.
Do not add a fee merely to force the invoice out of overdue status.
Why a Client Cannot Pay the Invoice
Clients paying online should open the invoice email and select View and Pay Invoice. FreshBooks then displays the payment methods enabled by the sending business.
If a client sees no usable payment option, the business should review the invoice’s online payment configuration. The client cannot independently add a payment method that the sender did not make available.
Check these items:
- the invoice is still available;
- the invoice balance is greater than zero;
- an online payment method is enabled;
- the client opened the latest invoice link;
- the business did not replace or delete the invoice;
- FreshBooks is not reporting an incident.
Do not send a second invoice immediately. The first invoice may remain valid but be missing its payment method, or the client may have opened an older email after the document was updated.
Clients should contact the sending business about the amount, services, due date, or available payment methods. FreshBooks Support handles platform problems, not commercial disagreements between a business and its customer.
Client Accounts Are Optional
A primary client can create a FreshBooks client account to review documents received from a particular business. When the client-account prompt shows Enter Password, FreshBooks says an account already exists and provides a Forgot Your Password? option for recovery.
This is separate from the business owner’s FreshBooks account.
A client account may make it easier to locate multiple invoices, estimates, or proposals. It does not grant access to the business’s expenses, accounting reports, bank information, or other clients.
Secondary contacts can receive billing documents, but account capabilities may differ from those of the primary client. The sending business should verify which contact is designated as primary when someone cannot access the expected client-account features.
Use the invoice link first. Skip client-account troubleshooting when the customer can already open and pay the document directly.
Check Whether FreshBooks Is Down
FreshBooks operates a public status page for current and historical system-performance information.
Check it when several users cannot log in, invoice pages fail across multiple devices, or recurring invoices stop generating at the same time.
A single overdue invoice is not evidence of an outage. Neither is one client’s rejected payment method.
Use this order:
- Identify the affected function.
- Check the FreshBooks status page.
- Test another browser or device.
- Confirm the correct business and client document.
- Contact support if no incident explains the failure.
Short stop. Preserve the invoice.
Deleting and recreating documents during an outage can break the original invoice link, separate payment history, or confuse the client with multiple balances.
