FreshBooks business users sign in to create invoices, control document numbering, add branding, and review payment settings before sending a bill. Clients normally open the invoice link supplied by the business rather than entering the owner’s FreshBooks account.

What FreshBooks Invoice Customization Does

FreshBooks is cloud accounting and invoicing software for small businesses and independent professionals. Its invoice tools support client details, products or services, taxes, discounts, deposits, payment terms, online payment options, document styling, and delivery controls.

FreshBooks also provides a Brand Appearance area where a business can select a template, theme color, font, logo, and banner image for client-facing documents. The styling can be used across invoices, estimates, and proposals.

Brand settings and invoice accounting fields solve different problems.

A logo helps the client recognize the sender. The invoice number identifies the billing document in the business’s records. Neither one replaces accurate client, date, amount, tax, currency, or payment information.

Do the accounting check first. Styling comes after.

FreshBooks documents three common browser routes for creating an invoice: Dashboard > Create New > Invoice, Invoices > New Invoice, or a client’s Invoices sub-tab followed by the plus control.

Do this first: confirm whether the user needs a new invoice, a copy, or an edit. Skip duplication when the existing draft simply needs a correction.

Log In to the Correct Business

Open FreshBooks through its company website and use the established sign-in method for the account. A user who manages several FreshBooks businesses should verify the active company before changing its logo, invoice template, numbering, or payment settings.

This prevents a quiet mistake.

A person can authenticate successfully, see a familiar client name, and still be inside another business. Confirm the business name, client, invoice number, currency, and balance before editing anything.

Priority one is the existing account. Skip creating another FreshBooks profile because a new business will not contain the original invoices, clients, payments, templates, reports, or document history.

Keep account access separate from client delivery. An invoice recipient needs the client-facing document, not the business owner’s credentials.

Create an Invoice Without Losing Track of Its Number

FreshBooks lets the business customize a new invoice section by section after it is created. The invoice can include a client, issue date, due date, invoice number, reference information, products or services, quantities, rates, taxes, notes, terms, payment options, and document styling.

Review the number before sending.

Invoice numbers should be unique and consistently organized so a business can identify each billing document in its own records. FreshBooks’ invoicing guidance advises changing the invoice number with each new invoice and avoiding duplicate numbers.

A useful numbering system might contain a year, client code, or sequential number, but the structure should remain understandable to the business and its accountant.

Do not make it unnecessarily elaborate.

A number such as 2026-0048 is easier to search than a long identifier containing several unexplained abbreviations. The exact format is a business decision, but consistency matters more than decoration.

Check the sequence. Skip sending until the number clearly belongs to that document.

Find an Invoice by Number

FreshBooks’ invoice search can filter records using fields such as invoice number, invoice amount, reference number, notes, item name, item description, and currency.

Use the narrowest search field available.

Searching by a common client name may return dozens of results. Searching by the exact invoice number usually identifies the intended document faster, provided the number was recorded consistently.

When the invoice does not appear:

  • clear old filters;
  • search all invoice statuses;
  • confirm the correct business;
  • check the currency filter;
  • search by client and amount;
  • inspect archived or deleted records where applicable.

A missing result does not justify creating another invoice immediately. The first document may be filtered out, stored under another status, or assigned a slightly different number.

Search first. Duplicate later only when necessary.

Duplicate an Invoice Safely

FreshBooks includes a Duplicate action that copies an existing invoice into a new document. The copied invoice also carries over its online payment settings, after which the new document can be modified.

That convenience creates risk.

A duplicated invoice can retain an old client, service rate, tax, discount, payment gateway, note, or due-date pattern. It may look finished because the original document was accurate for a different transaction.

Review every copied field:

  1. Client.
  2. Invoice number.
  3. Issue and due dates.
  4. Products or services.
  5. Quantities and rates.
  6. Taxes and discounts.
  7. Currency.
  8. Online payment options.
  9. Notes and terms.
  10. Email recipients.

The payment setting deserves special attention. A gateway enabled on the source invoice can remain enabled on the new copy even when the business intended another payment method.

Priority two is the copied configuration. Skip sending a duplicated invoice from the list view without opening and checking it.

Customize the Invoice Template

FreshBooks’ Brand Appearance settings let businesses choose from template options and adjust the document’s theme color and font. The same area supports a business logo and banner image.

Branding should support recognition and readability.

A logo can help a client connect the invoice with the contract, service provider, or prior communication. A strong theme color may improve visual consistency. Neither should make the amount, due date, client name, or payment instructions difficult to read.

Use a clear image with enough surrounding space. Avoid placing important terms only inside a banner graphic because text contained in an image may be harder to search, copy, or review.

FreshBooks also lets users change styling for specific estimates and recurring templates, including the template, logo or banner, color, and font.

A global brand change can affect future documents. Check a client-facing preview before relying on it across the account.

Why the Logo or Template Looks Wrong

A branding problem can come from the source file, document settings, or browser display.

Check:

Wrong business: The user changed branding under another FreshBooks company.

Old document settings: A specific document may retain styling that differs from the current account default.

Poor image proportions: A very narrow, tall, or low-resolution logo may not display as expected.

Banner used instead of logo: The two image positions serve different layouts.

Browser cache: A browser may show an earlier version until the page is refreshed.

Copied document: A duplicated invoice may retain design choices from the original.

Open the invoice preview after each significant styling change. Skip sending a test invoice to a real client solely to see how the layout appears.

A draft preview is safer.

Bulk Invoice Actions Need Extra Care

FreshBooks supports several bulk invoice actions. Current documentation includes duplicating one selected invoice, printing up to 50 invoices, emailing multiple invoices to primary clients, marking up to 150 drafts as sent, and adding payments to up to 30 unpaid invoices at once.

Bulk actions save time. They also enlarge mistakes.

Before sending several invoices, confirm that every selected document has the intended client, number, amount, due date, currency, and payment settings. FreshBooks’ bulk email action sends to the primary client, which may not be the person the business expected when several contacts exist.

Marking a draft as sent changes its workflow status. Adding a payment changes accounting records.

Do not use those actions as cosmetic cleanup.

Open a sample from the selected group first. Skip the bulk command when the invoices were produced from different templates or copied from several prior documents.

Draft, Sent, and Duplicated Are Different

A draft invoice is still being prepared. A sent invoice has entered the client billing workflow. A duplicated invoice is a new document copied from another one.

The copy is not a revision of the original.

This difference matters when correcting an error. Editing a draft preserves one document. Duplicating it creates another invoice that needs its own number and review. Leaving both active can confuse the business and the client.

FreshBooks’ invoice-management controls also include editing, archiving, deleting, printing, sending, and marking invoices as sent.

Use editing when the original draft is the correct document. Use duplication for a genuinely new transaction based on prior details.

Payment Reminders and Late Fees Belong to New Invoices

FreshBooks provides payment reminders and late-fee settings for newly created invoices. These controls apply after an invoice passes its due date. A reminder sends an email, while a late fee can add a flat amount or percentage according to the configured invoice settings.

The due date controls the timing.

A copied invoice with an old payment term may trigger reminders or late-fee behavior earlier or later than expected. Review those settings before sending the duplicate.

Late fees also raise legal and contractual questions. Their enforceability can vary by state, agreement, client type, and industry. FreshBooks supplies the feature, but the business should confirm that its terms and applicable rules permit the charge.

Do not add a fee simply to make the invoice more urgent.
