How FreshBooks Login and Invoice Payments Work

FreshBooks business users sign in through the company’s login page to create invoices, record expenses, track time, and review payments. Clients usually do not need an account to open and pay an invoice sent by a business.
This independent guide is not affiliated with FreshBooks.
Start by identifying your role. Business owners need the main account login, while invoice recipients generally need the secure invoice link delivered by the business.
What FreshBooks Is
FreshBooks is cloud-based accounting and invoicing software aimed at small businesses and self-employed professionals. Its tools include invoicing, expense tracking, time tracking, reporting, online payments, estimates, proposals, and client management.
The platform has two different access experiences.
A business user enters the main FreshBooks account to manage records and billing. A client opens an invoice, estimate, or proposal shared by that business. Primary clients can create a client account if they want one, but an account is not required for a normal online invoice payment.
This distinction prevents the most common wrong-page problem: an invoice recipient reaches the FreshBooks business login and assumes registration is mandatory.
It is not.

The current login screen provides email and password fields, Google and Apple sign-in options, Forgot Your Password?, Can’t Log In?, and Sign Up.
Do this first: open the main FreshBooks website and use its login link. Skip search results that imitate an account-access page or claim to provide unofficial round-the-clock account recovery.
How to Log In to FreshBooks
Enter the email associated with the FreshBooks account and use the sign-in method previously configured. FreshBooks supports its own credentials as well as Google and Apple sign-in.
A small but useful detail: browser autofill can insert an outdated email or password. FreshBooks specifically recommends turning autofill off and typing the details manually when credentials appear correct but are rejected.
Too many failed login attempts can temporarily lock the account as a security measure. Wait before trying again rather than submitting the same credentials repeatedly.
Priority one is confirming the email. Skip creating another account until you know the existing business cannot be recovered.
A new profile will not automatically contain the original invoices, clients, expenses, reports, payment settings, or connected businesses.
Reset a Forgotten FreshBooks Password
Select Forgot Your Password? on the FreshBooks login page and enter the account email. The reset message is sent only when the email matches an account on file.
FreshBooks recommends waiting roughly 15 minutes before treating the message as missing. Check junk or spam folders if it has not arrived.
There is another distinction.
Someone who normally uses Sign in with Apple or Sign in with Google must manage that provider’s password through Apple or Google. A separate FreshBooks password can be used only if the person previously established FreshBooks credentials for the same account.
Use the recovery route tied to the actual sign-in method. Skip repeated FreshBooks password resets when the rejected credential belongs to Google or Apple.
FreshBooks Codes and Two-Factor Authentication
FreshBooks may send a login code by email. Its support documentation identifies FreshBooks code messages as coming from designated FreshBooks mail domains and recommends checking filtered mail when the message is absent.
A resent code invalidates previous codes. Use only the newest one.
FreshBooks also supports time-based one-time password applications for two-factor authentication (2FA). Users who lose access to the device or authenticator app are directed to FreshBooks Support for a 2FA reset.
Keep the code private.
Never place a password, authentication code, payment-card number, or other sensitive information in an invoice note, public message, or ordinary support description. FreshBooks says card-number strings entered in unsupported note fields are automatically redacted, and card data should be entered only in payment fields designed for it.
The relevant security standard is the Payment Card Industry Data Security Standard (PCI DSS), overseen by the PCI Security Standards Council. FreshBooks states that it maintains PCI compliance and uses audited PCI DSS Level 1 compliant partners where card data storage is required.
How Clients Pay FreshBooks Invoices
An invoice recipient can pay through the online invoice without creating a FreshBooks account. Depending on what the business enabled, payment choices can include a credit card, ACH bank transfer, or PayPal.
A primary client can optionally create a client account to view documents, save supported payment information, and handle multiple outstanding invoices. Secondary contacts can receive and pay invoices but do not have all the same account features.
The payment methods displayed are controlled by the sending business and can also be changed on an individual invoice. FreshBooks notes that duplicating an invoice carries over the copied invoice’s current payment options.
That copied setting is easy to miss.
A business may duplicate an older invoice and unintentionally retain a payment gateway or method it no longer wants to offer. Review the invoice’s online payment options before sending it.
Clients should contact the business when a desired method is absent. FreshBooks Support cannot decide which payment types an independent business must accept.
Deposits and Payment Schedules
FreshBooks allows a business to request one percentage-based or flat deposit on an invoice. The documented control appears under the invoice amount as Request a Deposit. Once any payment has been added, the option to request a deposit is no longer available.
When the client pays it, the invoice status changes from Sent to Deposit Paid.
Payment schedules solve a different problem. They split one invoice into as many as 12 percentage-based or flat installments with selected dates. The client can pay one scheduled installment or select multiple installments, depending on the invoice and enabled payment options.
Do not confuse the two:
- A deposit asks for one amount upfront.
- A payment schedule divides the invoice into several dated installments.
FreshBooks also warns that a payment schedule does not control the invoice’s overall overdue status. A business that does not want the invoice marked overdue before the final installment may need to align the invoice due date with the last scheduled payment.
That setting deserves a check before sending.
Login Works but Payments Do Not
Authentication and payment processing are separate functions. A business may be able to open FreshBooks while an online payment, payout, or connected gateway requires attention.
Review transactions in the Online Payments section. For FreshBooks Payments powered by Stripe, the Payouts sub-tab shows balances and payout details.
Standard payouts are configured as daily automatic by default. FreshBooks describes payout speed as T+X business days, where T is the transaction confirmation or capture time and X is the processing period before funds become available. Bank holidays, weekends, and the receiving bank’s posting process can add time.
A payment appearing in FreshBooks does not mean the bank has already posted the deposit.
Check the transaction, payout batch, payout status, and receiving bank before changing account credentials.
Priority two is the payout record. Skip deleting and re-entering a payment merely because the bank deposit has not appeared yet.
Check Whether FreshBooks Is Down
FreshBooks maintains a public status page with current and historical system-performance information.
Use it when several users, browsers, or features fail at approximately the same time. FreshBooks also provides a support article explaining status subscriptions for service updates.
A single rejected password is more likely to be an account-access issue. Multiple users unable to load FreshBooks may point to a wider incident.
Check status first. Change settings second.
Contact FreshBooks Support
Signed-in users can open FreshBot from inside FreshBooks to see available support options. FreshBooks says FreshBot is available around the clock and uses answers written and maintained by its support team.
Someone who cannot log in can open the Help Centre, select Contact Us, ask FreshBot for help, enter “contact support,” and follow the instructions for a region-specific phone option or email request.
FreshBooks also uses a six-digit Support Key for identity verification in some support calls. The key can be opened through the support interface or with the Shift + K keyboard shortcut where documented.
Provide only the support key requested through the official process. Do not send login credentials, card data, or client financial records.
Support routes and availability can vary by region.
FreshBooks FAQ
Do clients need a FreshBooks account to pay?
No. They can pay an eligible online invoice directly.
Why did my FreshBooks password reset email not arrive?
Confirm the email, wait about 15 minutes, and check junk or spam. A reset message is sent only if the submitted address matches an account. Google or Apple sign-in passwords must be reset through those providers.
Why does my new FreshBooks code fail?
You may be using an older code. Selecting Resend code causes previous codes to expire, so enter the most recently delivered code.
Can FreshBooks request a deposit?
Yes. One flat or percentage deposit can be added before a payment is recorded on the invoice.
Can clients pay an invoice in installments?
A business can add a payment schedule with up to 12 scheduled payments. Partial-payment behavior depends on the payment provider and invoice settings.
Why can I log in but not see a payout?
The client payment, FreshBooks payout batch, processing period, and bank posting are separate stages. Review Online Payments and the payout details before editing the original invoice or recording the payment again.
Is FreshBooks PCI compliant?
FreshBooks states that it maintains PCI compliance and undergoes independent auditing. Cardholder data should be entered only in the designated payment fields.
