FreshBooks business owners can downgrade or cancel a subscription from the Billing and Upgrade area in a web browser. A canceled account remains accessible until the end of its current billing cycle, but recurring workflows, bank connections, team access, and client payment functions are affected afterward.

What FreshBooks Cancellation Changes
FreshBooks is cloud accounting software used to manage invoices, expenses, payments, projects, reports, and related business records. Canceling its subscription stops paid account use after the current billing cycle rather than immediately erasing the account at the moment the button is selected.
FreshBooks currently says the data remains intact and can be accessed again after reactivation. The same support page also warns that accounts inactive for at least 30 days may be deactivated and deleted, with an email notice sent before deactivation.
That combination requires attention.
Cancellation is not the same as deleting an invoice or archiving a client. It changes subscription access for the whole business and eventually affects the ability to use the account.
A business owner who only wants fewer features may need a downgrade rather than cancellation. A business closing permanently may need a complete export package and a defined record-retention plan before access changes.

FreshBooks requires a web browser for subscription management, including normal plan downgrades and cancellations.
Do this first: identify who bills the subscription. Skip the FreshBooks cancellation page when Apple or Google Play controls the recurring charge.
Log In to the Correct Business
Open FreshBooks through its company login and select the correct business before changing billing. This is important when one login controls several businesses, because the billing change applies to the business currently being managed.
Check:
- business name;
- account owner;
- subscription plan;
- billing frequency;
- add-ons;
- next billing date;
- whether Apple or Google handles payment.
Only the business owner can complete the standard cancellation workflow described by FreshBooks.
Priority one is account identity. Skip cancellation when the active business name does not match the company you intend to close or pause.
Do not share the owner’s login credentials with an employee merely to make the change. Ownership can be transferred through the account-profile process when the business is being sold or handed to another person.
Downgrade Instead of Canceling
FreshBooks permits plan downgrades during an active subscription. The documented browser route begins with the profile picture or initials, followed by Billing and Upgrade and Manage Plan.
A smaller plan may require account cleanup first. FreshBooks identifies several possible blockers:
- too many active or archived clients;
- active team members;
- connected accountants;
- active retainers.
Archived clients still count toward client limits. Archiving reduces list clutter, but it does not make the client disappear from the plan calculation.
This is a common wrong turn. A user archives ten clients, returns to the downgrade screen, and finds that the lower plan remains unavailable.
FreshBooks says a mid-cycle downgrade can generate a prorated credit that is applied to the next subscription payment. The account is not charged again until the next payment becomes due.
Review the lower plan’s limits before removing data. Skip permanent deletion when a different billing tier or add-on adjustment solves the cost problem.
Cancel a Direct FreshBooks Subscription
For an account billed directly by FreshBooks, the owner uses a web browser and opens:
Profile picture or initials > Billing and Upgrade > cancel your account
FreshBooks asks for a comment and cancellation confirmation. An email then confirms the request and states the final day of access; another email is sent when cancellation becomes effective.
The account remains active through the end of the billing cycle.
Use that remaining access deliberately. Export documents, finish reconciliations, collect open invoices where appropriate, and notify team members about the transition.
FreshBooks advises disconnecting active bank connections before cancellation so imported transactions and expenses stop flowing through Plaid, Salt Edge, or Yodlee.
Short pause. Disconnect the feeds.
A business that leaves the connection active until cancellation may import more activity than expected during the remaining access period.
What Stops After Cancellation
FreshBooks lists several consequences once cancellation takes effect:
- recurring expenses are deactivated;
- recurring templates are deactivated;
- retainers are deactivated;
- bank connections are disconnected;
- FreshBooks Payroll powered by Gusto is deactivated;
- team members can no longer log in;
- clients cannot comment on or pay invoices.
That final item deserves special attention.
An invoice may still exist in the books, yet the client-facing payment function will no longer operate after cancellation. Do not assume outstanding customers can keep paying indefinitely through old invoice emails.
Contact clients before access ends when open balances remain. Provide an appropriate business payment route and preserve the original invoice and payment records.
Recurring workflows also do not resume automatically after reactivation. FreshBooks says previously active recurring expenses, recurring templates, and retainers must be restarted.
Priority two is automation. Skip assuming that reactivation restores every schedule to its earlier state.
Export Data Before Access Ends
FreshBooks provides separate export methods rather than one universal backup file. Available formats include CSV and PDF, depending on the record type.
A practical export package can include:
- Chart of Accounts as CSV;
- active and archived clients with secondary contacts;
- active and archived expenses;
- uploaded expense-receipt images;
- payroll reports and tax documents where payroll is used;
- invoices as PDFs and CSV;
- estimates and proposals;
- items and services;
- financial reports;
- vendor information.
Invoice PDFs and invoice CSV data serve different purposes. PDFs preserve the client-facing documents, while CSV files support sorting and spreadsheet analysis.
The same distinction applies to expenses. An Expense Report or CSV provides structured values, while the receipt export preserves supporting images.
Export both.
FreshBooks says estimates and proposals can be downloaded individually as PDFs. A filtered CSV export for those documents currently requires contacting Support.
Do not wait until the final hour of the billing cycle. Large report sets, receipt-image downloads, and support-assisted exports can require additional review.
Download FreshBooks Subscription Receipts
Subscription receipts are stored under:
Profile picture or initials > Billing and Upgrade > Receipts
FreshBooks keeps receipts through the previous year directly in the account. The list can be filtered by All Time, This Year, Last Year, or a custom range.
Individual receipts can be downloaded using the arrow beside the receipt. Several receipts can be selected and downloaded through Actions > Download PDF.
Older records require another route. FreshBooks says Support can provide PDF copies of subscription receipts going back up to six years for Canadian businesses or seven years for U.S. businesses.
These receipts show the subscription, add-ons, discounts, and applicable sales taxes. Payroll usage receipts are also included when FreshBooks Payroll powered by Gusto is used.
Keep them with the business’s accounting records. Skip assuming that cancellation emails substitute for payment receipts.
Apple and Google Play Billing
Some FreshBooks subscriptions are billed through Apple or Google Play rather than directly by FreshBooks.
The Billing and Upgrade screen identifies the route:
- “Looks like you upgraded from your iPhone or iPad” indicates Apple billing.
- “Looks like you upgraded from your Android device” indicates Google Play billing.
Those subscriptions must be managed or canceled through Apple or Google Play. FreshBooks’ normal cancellation control does not replace the platform subscription settings.
This explains a frequent billing complaint: the user cancels or stops using FreshBooks but the mobile-store subscription continues renewing.
Verify the billing source first. Skip removing the mobile app because uninstalling an application does not by itself cancel an Apple or Google Play subscription.
When moving from mobile-store billing to direct FreshBooks billing, FreshBooks says to cancel auto-renewal with Apple or Google before contacting FreshBooks about the change.
Reactivate a FreshBooks Account
FreshBooks allows reactivation through a web browser. The user logs in, enters updated payment information, reviews the billing address, and selects Reactivate. Any outstanding subscription payments are retried during the process.
The company states that account data remains intact for reactivation, subject to its warning that sufficiently inactive accounts may eventually be deactivated and deleted after notice.
After reactivation, inspect:
- recurring expenses;
- recurring templates;
- retainers;
- bank connections;
- payroll;
- team-member access;
- online payment settings;
- next invoice dates.
Do not restart every automation at once. Check dates and balances so a dormant recurring invoice does not generate an unintended document immediately.
FreshBooks Payroll requires direct contact with Support to resume after reactivation.
Archive, Delete, and Cancel Are Different
Archiving hides content from active lists while retaining it in reports and most searches. Archived recurring templates and retainers continue generating invoices; archived expenses remain in bank reconciliation.
Deleting moves supported content into a deleted section, where many records can later be undeleted.
Canceling affects the subscription for the entire business.
This distinction matters when preparing to downgrade. Archiving a client does not reduce the plan’s client count, while deleting the client may affect availability and workflow. Canceling the whole account is much broader than either action.
Use archiving for organization. Use deletion only after reviewing dependencies. Use cancellation when paid account access should end.
FreshBooks FAQ
Does FreshBooks delete my data immediately after cancellation?
No. The account remains accessible until the billing cycle ends, and FreshBooks says data is preserved for reactivation. It also warns that accounts inactive for 30 days or more may later be deactivated and deleted after an email notice.
